Before the Meeting

During the Meeting

Adjust computer volume for songs and videos

Lower mic volumes whenever a video or song is playing

Replace wireless mic batteries if they run low during the meeting

Turn on both LCD screens using the remote controls โ€” press the red button

Launch JW Library app

Launch OBS Studio; verify Virtual Camera is on

Confirm all videos and images are downloaded and tested; verify meeting playlist is complete

Start Zoom Cloud Meetings, log into the Congregation account, ensure it is active, and admit any early videoconference participants

Assign HOST privileges to the Zoom attendant

Leave camera on and microphone muted in Zoom

Test audio and video of all brothers/sisters presenting parts via Zoom
โœ“
When the chairman goes to the Platform: enable Zoom microphone and broadcast wide-angle Platform image via OBS

Mute and unmute participants for comments; spotlight any Zoom participant presenting a part

For Zoom parts: display correct webcams on KH screens; when part ends, return JW Library (annual scripture) to foreground
After the Meeting

Disable microphone and camera in Zoom Cloud Meetings
โœ“
Start background music: press 999 + green button on the MP3 player

If participants still on Zoom: make a mature brother or sister the host before closing Zoom
โœ“
Log out of the Congregation's Zoom account (only after confirming Zoom attendant has HOST privileges)

Log off Central Mandarin account on computer
โœ“
Plug in stage tablet and security monitor tablet to charge
โœ“
15 minutes after meeting ends: close OBS and JW Library; shut off the 3 TVs; turn off computer, monitor, and both LCD screens (red button on remote)

Turn off wireless mouse and keyboard
โœ“
Sanitize wireless mouse, keyboard, and LCD screen remote controls
โš ๏ธ Do NOT shut off the computer or audio system before the 15-minute window โ€” both remain on during the post-meeting period.

Before the Meeting

Check that all microphones are connected, turned on, and working (coordinate with the Audio Mixer operator)

Test mics by saying "test, test, test" or "check, check, check" โ€” do not tap or blow into them
โœ“
Take a seat in the first or second row, in the central aisle of the Hall
โœ“
Remind those with parts: table demonstrations โ†’ left side of Platform; interviews/readings โ†’ right side
โœ“
Remind those with table demonstrations to sit down in advance to allow time for mic adjustment
โœ“
Remind all speakers: mic on, correct hand, correct distance, do not turn back to the audience
โœ“
Turn on the speaker's tablet
โœ“
Start Zoom Cloud Meetings on the tablet: tap Join a Meeting, enter Meeting ID and Passcode
โœ“
Confirm Zoom audio on the tablet is muted and that mic and camera in Zoom are disabled for the entire meeting
During the Meeting

Adjust the microphone stand at every change of speaker, reader, interview, or demonstration
โœ“
Promptly intervene on the Platform in case of equipment malfunctions or unacceptable sound quality
After the Meeting

Tidy up the Platform: return chairs, stands, microphones, and the chairman's table to their original positions
โœ“
End the Zoom Cloud Meetings session on the tablet
โœ“
Turn off the speaker's tablet
โœ“
Sanitize the microphones and stands, the speaker's lectern, the demonstration table, and the tablet
